Thank you for using KeyboardExtension (“we”, “us”, or “our”). This Privacy Policy explains how we collect, use, disclose, and protect personal information when you install or use the KeyboardExtension iOS app (the “App”), which provides AI‑assisted reply generation, a custom Keyboard Extension, and a Share Extension to help business owners respond to customer reviews.
Please read this policy carefully. By using the App, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
We collect information that you provide directly and information that is generated or collected automatically as you use the App. We limit collection to what is necessary to provide the service.
Types of information we collect:
- Account & Contact Information
- Email address and any profile information you voluntarily provide when creating an account or contacting support.
- User Content
- Review text and other text you share into the App via the Share Extension or paste into the App.
- Replies generated by the AI and any edits you make to them.
- History of generated replies and timestamps if you enable History tracking.
- Financial & Billing Information
- Subscription and purchase information. Payments and payment processing are handled by Apple’s App Store / StoreKit. We do not receive or store your full credit card numbers; we may receive transaction identifiers and billing receipts necessary to manage your subscription.
- Device & Usage Information (automatically collected)
- Device type, iOS version, App version, crash reports and diagnostics, feature usage, and aggregate analytics necessary to operate and improve the App.
- Support Communications
- Messages and attachments you send to our support team, including email correspondence.
- Aggregated & De‑identified Data
- Non‑identifying summary data derived from the above for analytics, research and product improvement.
What we do not collect (unless you explicitly provide it):
- We do not collect or attempt to collect sensitive private data from other apps or keystrokes typed with other keyboards. See the Keyboard Extension description below for details.
Keyboard Extension and Share Extension specifics:
- Keyboard Extension: The custom Keyboard Extension is designed to insert or paste generated replies directly into other apps. It does not record your keystrokes or capture text you type with other keyboards. The Extension only inserts generated reply text when you choose to use it.
- Share Extension: When you share review text into the App from external apps (e.g., Google Maps, Yelp), the shared text (the review content) is collected to generate AI replies. You control what is shared.
2. How We Use Your Information
We use collected information for the following purposes:
- Provide and operate the App and its features (AI reply generation, Keyboard Extension, Share Extension, History).
- Process and manage subscriptions, billing, and purchase receipts (via Apple StoreKit).
- Generate, store, and display AI‑generated replies based on review text you provide.
- Maintain your account, including authentication and support.
- Improve, test, and develop our products and services, including diagnosing and fixing issues.
- Communicate with you about your account, product updates, security alerts, and promotional offers (where permitted).
- Enforce our Terms of Service, detect and prevent fraud, abuse, and illegal activity.
- Comply with legal obligations, law enforcement requests, and government reporting.
We will only use the personal information for the purposes described here or for purposes you consent to.
3. Data Sharing and Third Parties
We do not sell your personal information.
We may disclose your information in the following limited circumstances:
- Service Providers and Subprocessors
- We may use third‑party vendors to provide services such as hosting, backup, security, and AI processing. These vendors are contractually required to protect your data and use it only to provide services to us.
- Payment Processing
- Purchase and subscription processing is handled through Apple’s StoreKit and the App Store. Apple may share transaction receipts and limited billing details with us to manage subscriptions; Apple handles payment card data and other sensitive payment details.
- Legal Obligations and Safety
- We may disclose information if required by law or in response to valid legal process, to protect our rights or property, to prevent fraud or imminent physical harm, or to comply with a government request.
- Business Transfers
- If we are involved in a merger, acquisition, reorganization, financing, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you and require the transferee to honor this policy.
- Aggregated or De‑identified Data
- We may share aggregated or de‑identified information that does not reasonably identify you with third parties for analytics or research.
We maintain contractual safeguards with all service providers and limit third‑party access to what is necessary.
4. Data Retention
We retain personal information only as long as necessary to provide the App and its features, to fulfill the purposes described in this policy, and as required by law.
Typical retention periods:
- Account information and User Content (including generated replies and history): Retained while your account remains active. If you delete your account, we will delete associated personal data within a reasonable timeframe, except where we must retain data for legal or legitimate business purposes.
- Financial & billing records: We retain transaction receipts and related billing records for up to seven (7) years for tax and accounting purposes or as required by law.
- Logs, diagnostics, and backups: Retained for a limited period (generally up to 90 days) for troubleshooting and security; backups may exist for a limited additional period.
- Aggregated/anonymized data: May be retained indefinitely for analytics, product development, and research, because it no longer identifies you.

5. Security Measures
We take reasonable administrative, technical, and physical measures to protect personal information from unauthorized access, loss, misuse, and alteration. These measures include:
- Encryption of data in transit using industry standard protocols (e.g., TLS).
- Encryption or secure storage of personal data at rest where applicable.
- Access controls and authentication to limit access to personal data to authorized personnel only.
- Regular security assessments and software updates.
- Data minimization practices and role‑based access.
- Staff training on data protection and privacy.
While we strive to use commercially acceptable means to protect personal information, no method of transmission or storage is completely secure. We cannot guarantee absolute security.
6. Children's Privacy
The App is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13 without verified parental consent, we will take steps to delete that information as soon as possible. 7. Your Rights (GDPR / CCPA compliant)
We respect your privacy rights. Depending on your jurisdiction, you may have certain rights regarding your personal information.
For users in the European Economic Area (EEA) / UK (GDPR rights):

- Right to Rectification: Request correction of inaccurate or incomplete personal information.
- Right to Erasure ("Right to be Forgotten"): Request deletion of your personal information, subject to legal exceptions.

- Right to Know: Request categories and specific pieces of personal information we have collected, disclosed, or sold (we do not sell personal information).
- Right to Delete: Request deletion of personal information we collected directly from you, subject to exceptions.
- Right to Opt‑Out of Sale: We do not sell personal information; thus this right does not apply.

- Right to Correct and Limit Use of Sensitive Personal Information where applicable.
How to exercise your rights:
- Contact us at keyboardextension@forvibe.app with a clear subject line such as “Privacy Request — Access” or “Privacy Request — Delete” and provide sufficient information to verify your identity and to locate your data.
- We will verify your identity before processing requests and will respond within applicable legal timeframes (generally within 30 days, extendable where permitted by law). We may request additional information to help locate your account or to verify your identity.
Requests from authorized agents:
- If you use an authorized agent, we may require proof of authorization.
Do Not Sell / Share:
- We do not sell or share personal information for targeted advertising and we do not knowingly permit third‑party sales of personal information.
8. AI / Automated Processing Disclosure
Automated Decision‑Making and Profiling:
- The App uses automated AI language models to generate suggested replies based on review text and any context you provide. This processing is automated: the App analyzes the input text and returns generated responses without human intervention.
- Logic: The AI uses contextual analysis and language models to produce draft replies in the tone you select (apologetic, professional, grateful, etc.).
- Significance and Consequences: The AI provides suggested content to help you draft responses more efficiently. The generated replies may contain inaccuracies, biased phrasing, or other imperfections. You are responsible for reviewing and editing any AI‑generated reply before posting it publicly. Automated processing may influence the wording and tone of the messages you send to third parties.
User Controls:
- You can edit, revise, or discard any AI‑generated reply.
- If you prefer not to use AI generation, you may refrain from using that feature and compose replies manually.
- We retain generated replies as part of your History only if you enable or use that feature, and such retention follows the Data Retention policy above.
Model Hosting:
- AI models may run on servers we control, on third‑party servers we contract with, or on‑device where technically feasible. By providing input (including review text), you consent to automated processing as described here.

9. In‑App Purchases & Subscriptions
Our App uses a freemium model:
- Free Tier: Provides limited access to features and a limited number of AI generations.
- Subscription (Auto‑Renewing): Offers unlimited AI generations and additional features. Subscriptions are charged through Apple’s in‑app purchase system (StoreKit / App Store) and will auto‑renew unless canceled.
- Billing & Management:
- All payments, refunds, billing inquiries, and subscription management are handled by Apple. To manage or cancel your subscription, use the Apple ID Subscriptions settings on your iOS device or see Apple’s support pages.
- We may receive confirmation and receipt information necessary to enable and manage your subscription within the App.
- Trial Periods: If a free trial is offered, terms and duration will be shown at the time of purchase. If you do not cancel before the trial ends, your subscription will automatically convert to a paid subscription and auto‑renew.
- Refunds: Refunds are handled by Apple in accordance with Apple’s App Store policies. Contact Apple Support for refund requests.
- Restoring Purchases: You can restore purchases via the App’s “Restore Purchases” feature. Apple’s system will validate your purchases and provide status information to the App.
Auto‑Renewal Notice:
- Subscriptions renew automatically unless auto‑renew is turned off at least 24 hours before the end of the current period. You will be charged for renewal within 24 hours prior to the end of the current period.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or features. When we make changes, we will:
- Post the updated policy with a new “Last Updated” date and the Effective Date at the top of this policy.
- Provide notice of material changes within the App or by email where required by law.
Your continued use of the App after the Effective Date constitutes acceptance of the updated policy.
